Risks of Using E-Mail and Text Message Communication

The employees of SEGCHC will use reasonable means to protect the security and confidentiality of information sent and received via text or email. However, because of the risks outlined below, we cannot guarantee the security and confidentiality of e-mail and text message communication:

  • Use of e-mail and text message communications to discuss sensitive information can increase the risk of such information being disclosed to third parties.
  • Despite reasonable efforts to protect the privacy and security of e-mail and text message communication, it is not possible to completely secure the information.
  • Employers and online services may have a legal right to inspect and keep e-mail and text message communications that pass through their system.
  • E-mail and text message communications can introduce malware into a computer system, and potentially damage or disrupt the computer, networks, and security settings.
  • E-mail and text message communications can be forwarded, intercepted, circulated, stored, or even changed without the knowledge or permission of the communicating parties
  • Even after the sender and recipient have deleted copies of e-mail and text message communications, back-up copies may exist on a computer system.
  • E-mail and text message communication may be disclosed in accordance with a duty to report or a court order. Email, text messages, and instant messages can more easily be misdirected, resulting in increased risk of being received by unintended and unknown recipients.
  • Email, text messages, and instant messages can be easier to falsify than handwritten or signed hard copies. It is not feasible to verify the true identity of the sender, or to ensure that only the recipient can read the message once it has been sent.


Collection, use and disclosure of SEGCHC client personal information

We work in a team model where a variety of staff provide you with high quality services. 

Your information will be shared among staff members of SEGCHC and with other healthcare providers outside the CHC who are involved in your care.  We also access health information that is stored in provincial databases like Ontario Laboratories Information Systems (OLIS).  

Why we collect information from you.

SEGCHC collects information about you so that we can: provide care or services to you; evaluate, manage and plan our services; provide information to funders for health system management purposes; participate in research; and meet our legal requirements.

We ask for your agreement to collect, use and share your personal information.

We will not disclose your personal health information for any purposes other than those listed above without your consent, or without asking for your permission except as legally required.

We have a duty to report.

We are required by law to disclose information, with or without your consent, about certain infectious diseases, child abuse and neglect, and instances where there is the potential of harm to yourself or others.

We have responsibility to inform you in case of a breach of privacy.

SEGCHC is responsible for the information it holds about you and has policies about the privacy of this information.   If there is ever was a breach of privacy we would immediately report this to you.

You own your personal health information, what are your rights?

You can access personal health information we have about you by making a request in writing. You can also request to change the information we have about you, and restrict who at SEGCHC can see that information. We will respond to any request within a reasonable amount of time (no more than 30 days).

Our Privacy Officer can respond to your concerns, complaints or questions.
